Assistant Maintenance Manager
Position Overview:
We are seeking a proactive and detail-oriented Assistant Maintenance Manager to support our Maintenance Manager and ensure the smooth operation of our maintenance department. This role involves a blend of administrative responsibilities, team coordination, and customer service. The ideal candidate will be experienced in property management, comfortable with high-volume dispatching, and proficient in using maintenance tracking systems like AppFolio.
Key Responsibilities:

Communicate professionally and effectively—both verbally and in writing—with tenants, maintenance technicians, management, vendors, and subcontractors

Provide administrative support to the Maintenance Manager, including calendar management and documentation

Assist in organizing and planning daily activities for the maintenance team

Review and escalate inbound service tickets from the call center or tenants

Assess the scope of work required for individual work orders in AppFolio; must have basic knowledge of plumbing, electrical, HVAC, appliance repair, carpentry, drywall, and general maintenance

Manage and dispatch a high volume of work orders daily to technicians and subcontractors

Monitor and ensure timely and quality completion of contractor work

Track all work order progress from intake to completion using AppFolio

Relay time-sensitive updates to the maintenance team while in the field

Attend and contribute to weekly staff meetings

Provide excellent customer service to residents
Qualifications:
-
Prior administrative experience in a fast-paced environment

Background in property management preferred

Hands-on experience fielding and distributing maintenance work orders

Proficiency in AppFolio or other property management software
-
Intermediate to advanced skills in Microsoft Office Suite

Strong verbal and written communication skills, especially over the phone
